"Imagine this. It is your very first week as an HR Assistant. You are sitting at your desk, trying to look busy. Suddenly, the Sales Manager – let’s call him Mr. John – runs to your desk. He looks stressed, and he is holding a cup of coffee that is spilling everywhere."

"Hey! You're the new HR, right? Listen, I need a new salesperson immediately! My team is drowning in work. We are losing customers! Find me someone good, okay? Get me a Superman!"

"You freeze. You think to yourself: 'A Superman? What does he mean? Does he want someone who flies? Or someone who works 24 hours a day? I don't want to look stupid, but I don't know what to look for.'"

"Uh, sure, Mr. John. But... what exactly do you need? Do you need someone who speaks fluent English? Someone who is good at Excel? Or someone willing to travel?"

"I don't know! Just... someone who can sell things! Just post it on Facebook and get me some CVs by tomorrow!"

1:30 THE ANALYSIS: THE CONCEPT

"Stop right there!

What is happening here? This is a classic mistake. Mr. John wants to "cook a dish", but he doesn't have a "recipe". If you run to Facebook and post "We need a Salesman", you will get one thousand CVs, but maybe zero candidates are suitable. You will waste your time, and Mr. John will be angry.

So, remember this rule: Your first job in HR is not hiring. Your first job is defining.
You need to help Mr. John write a Job Description, or JD."

2:10 DEEP DIVE: WHAT IS A JD?

"Think of a JD as a shopping list. Without it, you are shopping blind. A standard JD usually has three main ingredients."

  • 🏷️ First is the Job Title: What do we call this person? Is he a "Sales Intern" or a "Senior Sales Executive"? The title shows the level of the position.
  • Second is the Responsibilities: What will this person DO every day? Will they call customers? Will they write reports? Or will they travel to meet clients?
  • 🎓 And third, the most important part - The Requirements: What must they HAVE? A university degree? Two years of experience? Or specific skills like English B2 or negotiation skills?

3:00 PRACTICE: KEY VOCABULARY

"Now, let’s practice some English vocabulary for this situation. I will read the key terms slowly. Please repeat after me."

Meaning: This is the document that explains the details of a role.

2. Responsibilities

Meaning: These are the daily tasks the employee must do.

3. Qualifications

Meaning: These are the certificates, degrees, or skills a candidate needs to have.

"Great. Now that you have the vocabulary, let’s go back to the scene with Mr. John. This time, you are not confused. You are confident. You know what you need."

"Mr. John, I understand you are in a rush. But to find the 'Superman' you need, I cannot just guess. Please sit down with me for five minutes. I need to know exactly what this person will do, and what skills are non-negotiable."

Sử dụng "Action Verbs" cho Responsibilities

Khi viết JD, hãy bắt đầu các gạch đầu dòng bằng động từ mạnh (Action Verbs). Thay vì viết "Responsible for sales", hãy dùng "Manage B2B sales operations" hoặc "Develop new client relationships".

"Requirements" vs "Nice-to-haves"

Hãy phân biệt rõ yếu tố bắt buộc và yếu tố cộng điểm. Dùng "Must have" hoặc "Required" cho kỹ năng thiết yếu (VD: Fluent English required). Dùng "Nice-to-have" hoặc "Plus" cho kỹ năng thưởng thêm (VD: Experience in IT is a plus).
